Online Registration Coordinator

Non-exempt Full Time
Compensation: starting at $50,000-$60,000 annually for FTE, commensurate with experience

Job Summary

It is the responsibility of the Online Registration Coordinator (ORC) to monitor and assist in the creation, submission, and follow-through of accurate online state filings for nonprofit organizations. The ORC communicates with stakeholders (contractors, coworkers, programmers, managers, and state regulators) to ensure online filings are completed accurately, timely, and efficiently so that charities can focus on their mission, not their paperwork. This position has the opportunity to participate in the creation of enhanced processes and efficient methodologies that ensure customer and state regulator trust in Affinity’s team-based services.

Summary of Essential Job Functions

1. Oversee data entry by online filing contractors to ensure online registrations are done timely and accurately:

    Coordinate with contractors and team members weekly to ensure correct data entry, data review, submission, and payment of online registrations and extensions, and resolve any errors

    Track all online submissions, ensuring they are completed within set turnaround times

    Track, maintain, and delegate filings held until state viability windows
  • chevron_right
    Oversee and delegate batch annual registration submissions
  • chevron_right
    As needed complete the data entry

2. Support the production team in ensuring online registrations are done timely and accurately:

    Train team members on customer support for online signing process
  • chevron_right
    Track incomplete online filings and delegate completion to team members
  • chevron_right
    Ensure team members utilize project management software appropriately for relevant online registrations
  • chevron_right
    Answer questions from customers regarding online state requirements and any emails they received
  • chevron_right
    Track, delegate, and follow up on renewals able to submit early to avoid customer late fees
  • chevron_right
    Manage online registration corrections and communication
  • chevron_right
    As needed, directly follow up with customers and states on select state online submission issues
  • chevron_right
    As needed, request account access from new customers with pre-existing online accounts

3. Monitor online filing requirements/processes on state platforms to ensure Affinity’s processes are kept up to date and adapt to changing state requirements:

    Collaborate with Registration Manager and Director of Operations in creating master process for adding new states to online registration submission procedure
  • chevron_right
    Advise Registration Manager and Director of Operations on any changes needed for online data entry process on an ongoing basis

4. Work with programmers on portal development to ensure systems support the state requirements:

    Test and provide feedback on Affinity Single Portal® interface for online data entry

5. Portal Review/Production Support as needed during peak seasons to assist in registration processes for all customers*

    Review information provided by customers for Affinity Single Portal® & following through until portal is considered complete
  • chevron_right
    Timely submission of registration no later than final guaranteed date, with expectation they are to be submitted well before then
  • chevron_right
    Registration submissions via mailing, email, CD, or online filing

*For team members hired internally: from now to end of year the position would be hybrid Registration Specialist & Online Coordinator, making #5 50% of the job responsibilities. As of 11/1/2024 #5 would only be left in periods of extreme circumstances and otherwise N/A.

Job Summary

It is the responsibility of the Registration Support Specialist to review and organize customers' registration-related data and documents, ensuring all requisite information is collected to efficiently and comprehensively submit all compliance filings to the states according to Affinity's streamlined process. As the primary point of contact, the Registration Specialist fosters relationships with nonprofit customers and reinforces trust in Affinity’s team-based services.

Summary of Essential Job Functions

1. Create, submit, and maintain accurate registration applications to the states within company turnaround times to ensure ongoing customer satisfaction and service fulfillment:

    Review information provided by customer on the Affinity Single Portal® and follow through until account is considered complete

    Create and send state forms to customers

    Prepare application packet productions and submissions with payments via hardcopy mail, CD, email, and/or online filing

Job Summary

It is the responsibility of the Office Support Associate (OSA) to assist in the creation, submission, and follow-through of accurate state filings for nonprofit organizations. The OSA completes the final stages of a multi-part process to ensure charities can focus on their mission, not their paperwork. This position involves completing administrative tasks within set sequences according to Affinity’s streamlined process. Providing accurate data entry work and meeting designated timelines ensures customer and state regulator trust in Affinity’s team-based services.

Summary of Essential Job Functions
